Job Description

This role will provide executive level support and coordination to the CEO, COO and Creative Director and will work collaboratively across the organisation with all stakeholders. The Executive Assistant / Office Manager performs a range of administrative support functions and will be responsible for the successful management of our Rosebery Offices.

Responsibilities of the role but not limited to:

Executive Assistance

  • Provide general assistance to the COO, CEO & Creative director on a daily basis.
  • Manage complex and changing diaries, including scheduling, negotiating appointments and meetings, and organising associated and supporting documentation.
  • Oversee event coordination for staff and office events.


  • In collaboration with the Office Administration Coordinator, arrange and book all domestic and international - airfares, accommodation, and transfers for all Executives as well as other team members as required.
  • Management of all travel requirements, including but not limited to, arranging phone data packs, arranging travel insurance, and VISA's.
  • Assisting in completing budget forecasts and generate expense reports of travel costs.

Office Management

  • Establish and implement organisational systems and processes to ensure the smooth and efficient running of the Head Offices.
  • Manage all building and facility support contracts in Australia including the refurbishment and expansion projects across our offices.
  • Support the development, implementation, review and improvement of organisational policies,
  • Complete monthly reconciliation of receipts with credit card statements and ensure all invoices are paid on time.

Required skills and expertise:

  • At least 5 years of Executive Assistant experience is required.
  • Extensive international travel management experience.
  • Superior skills in Microsoft Office.
  • The ability to manage workflow and prioritise tasks.
  • Work well under pressure and be flexible.
  • High level of confidentiality and professionalism.
  • Strong written and verbal communication skills.
  • Driver's License (essential).
